Each project is different. The timeline below shows how much we put into your big event...

Event - ICCE : Solving Coastal Conundrums,
Cardiff City Hall

  • Notified of the international conference to be held in the UK for the first time in over 20 years
  • December – Quotation provided
  • January – Revised quotation provided after being informed that Cardiff University are going to hold a tie in conference the week before
  • March – Awarded contract for both conferences
  • April – Main conference set visual supplied and approved (However because of tight set design budget, an element of the BSA set used one month earlier was incorporated to save costs - see pictures)
  • Mid May – Full site visit with both clients undertaken
  • Early June – Main part of the set built
  • Last week of June – Monday, full kit list put together. Tuesday/Wednesday, all computers to be used on site are networked at base to check for problems. Thursday, all set, stage and technical equipment organised and packed. Friday, all equipment loaded onto two 7.5 ton trucks and one long wheel base van

The event - week 1

  • Saturday – Two trucks, one van and five crew leave Harrogate and meet with four freelance staff and two local crew in Cardiff and unload into Cardiff City Hall
  • Sunday – Three set crew install one main room set, two breakout sets and staging, four technical crew install equipment in five conference rooms and in slide preview, two technical crew install a full computer network to distribute PowerPoint slides, slide preview opens at 4.00pm
  • Monday until Thursday – The first conference, technical staff to operate the main room and two breakout rooms, two slide preview staff and one floating member of staff to watch over the two self operated rooms, all presenters report to slide preview and PowerPoint is distributed over the computer network, three crew and vehicles return to Harrogate to work on another conference
  • Friday – De-rig one of the breakout rooms of all set and technical equipment, this room is to be used by Cardiff City Council for an reception on Saturday
  • Saturday – Day off

The event - week 2

  • Sunday – Re-install one of the breakout rooms, slide preview opens, another breakout room holding a pre-conference meeting and is manned, another technical member of staff arrives to rig and operate an extra conference room in 'Museum of Wales' - the building next door
  • Monday until Friday – The second conference
  • Friday – Three crew and transport return from Harrogate , four local crew and all technical crew start to de-rig at the end of the conference at 4.00pm, all equipment to be removed by 7.00pm
  • Saturday – Travel back to Harrogate

Show stats

Number of delegates over two weeks – 3000+
Number of presenters over two weeks – 900+
Number of rooms - 6
Major problems – One presenter had a computer virus on his PowerPoint file, that could not be removed, however he had all his text as a Word document and his pictures as J-pegs, so he was allocated a spare computer and he re-built his presentation
Delegate hand in cards - 5 star feedback for technical / event running
Budget - delivered £2,000 under budget
